Q: How is JIWA Financials supported?
A: JIWA is implemented and supported by over 30 JIWA Solution Providers (JSPs) around Australia, New Zealand and Canada. There are JSPs in all capital cities as well as in many regional cities. As well as having direct communication with JSPs, JIWA is always happy to receive calls from JIWA users if they believe that JIWA might be better in answering a query..

Q: How long has JIWA Financials been around?
A: Development on JIWA Financials began in 1992 with the first site implemented in 1995. Since then JIWA has displayed its firm commitment to continually update the software with the latest technologies. Of note is that JIWA was the first Australian accounting software to use the Microsoft SQL Server database and has done so since its inception. JIWA first ran using Microsoft SQL Server 4.2, is now using Microsoft SQL Server 2000, and is currently undergoing testing on Microsoft SQL Server 2005. .

Q: Is JIWA Financials Web-Enabled?
A: Yes. A good proportion of JIWA sites have web-enabled their systems. Any information contained within JIWA may be displayed live on a website, with the necessary security controls of course. There are a range of out-of-the-box websites available to link on to JIWA and your JIWA Solution Provider may tailor the website to satisfy any further requirements. JIWA users are enabling their customers to do a vast range of things on their JIWA-enabled websites including allowing customers to:
  • View product ranges with their own specific pricing

  • Place orders which go directly into JIWA

  • View their job and order status

  • Change address and contact details

  • View their purchasing history and reprint invoices

  • Pay online

  • Book service jobs and reconcile work

Q: How do remote users access JIWA Financials?
A: Users in remote sites may access JIWA over a Wide Area Network (WAN) or a Virtual Private Network (VPN) using the Microsoft Terminal Services or Remote Desktop Connection functions, standard features of Microsoft Windows Server 2000/2003 and Microsoft Windows XP respectively.

Additionally, with today's wireless technologies, accessing JIWA while you are on-the-road either on laptop or a smaller device is achievable using communication networks such as CDMA or 3G.

Q: How can reports be changed in JIWA Financials?
A: All reports, as well as stationery layouts (invoices, picking slips, etc.) are written with - and may be changed using - Crystal Reports. JIWA chose Crystal Reports as its reporting engine because it is the industry-standard report writer and because of its relative ease of use. Additionally, every report has a range of parameters.

 

 Furthermore, JIWA comes with a suite of reports in Microsoft Excel (utilising Microsoft SQL OLAP). Changing one of these reports is as easy as drag and drop.

Q: Can additional functionality be developed by 3rd parties to integrate with JIWA Financials?
A: Yes. Although JIWA is very responsive to the suggestions of customers, it has been developed and provides the tools enable 3rd parties (usually JIWA Solution Providers) to develop additional functionality. This can either be within the JIWA system or integrated with JIWA. JIWA's breakout (Visual Basic scripting) and stored procedure architecture as well as its open database and use of standard technologies facilitate these capabilities.

Q: What are the system requirements of JIWA Financials?
A: A full set of the system requirements can be found under the THE SOLUTION > NETWORK REQUIREMENTS section. In general, as long as you have a modern server, you must make sure that you have 512MB RAM for up to 5 concurrent JIWA users, and an additional 128MB RAM for each further 5 concurrent users.

With regard to the workstations accessing JIWA on the server, the workstation must be either running Microsoft Windows 2000 or XP. As long as they can operate programs such as Microsoft Word or Excel at a good speed, they will be fine to operate JIWA.

Q: What are the limitations of JIWA Financials?
A: There are no theoretical limitations to the number of concurrent users JIWA may support or the number of transaction per day that can be processed. However, the largest JIWA sites are 100 concurrent users and we have a number of JIWA sites that process over 10,000 transactions (invoices) per day.

Q: What development tools are used to build JIWA Financials?
A: JIWA has been built primarily using Microsoft Visual Studio 6, Microsoft Visual Studio .NET and Microsoft SQL Server. However, JIWA also uses: Crystal Reports 10; Macromedia RoboHelp X5; InstallShield; AutomatedQA TestComplete; FarPoint Spread; and Infragistics ActiveX components.

Q: How is JIWA Financials licensed?
A: JIWA is licensed based on the number of concurrent users, i.e. the number of people accessing the JIWA system at any one time, per physical server. Therefore, multiple companies may be implemented to use JIWA as long as their databases are held on the one server without invoking any licensing issues.

Q: Process Back Orders has been run and the warehouse says there is not enough stock?
A: There are two ways to address this depending on the situation:

1. None of the stock delivered by Process Back Orders is available for a sales order
  • Load the relevant sales order
  • Record, Utilities, Reduce Deliveries
  • Answer yes to 'Reduce all deliveries?'
  • Deliveries are cancelled and back order records are re-created when the sales order is processed.

2. Only some of the stock delivered by Process Back Orders is available
  • Sales Order Entry, Sales Order Utilities, Reduce Deliveries
  • Select relevant criteria and click Go
  • Enter in the New Qty per line - i.e. the actual stock to be delivered on that sales order per line (you cannot increase the amount being delivered, only reduce)
  • Click Process to complete the action
  • Deliveries are adjusted on the sales orders and back order records will be re-created when the sales order is Processed
  • Stock is put back into Stock on Hand with the notation 'Delivery reduced'

Q: How can I get to the last line of an unprocessed sales order quickly?
A: Anywhere in the sales order on any tab, press [Page Down] and the cursor jumps to the last line Part No field

Q: I want to find a part number or description on a large sales order
A:
  • Double right mouse click Part Number or Description column heading
  • Select Search and a dialog box is opened
  • Enter in the search criteria and press Search
  • Continue until the relevant line is located
  • Cancel to exit from the search to the sales order
Q: How can I alter the cheque numbers in a closed cheque payment batch and then reprint them?
A:
  • Open the cheque payment batch that needs to be corrected.
  • Click Record - Apply New Cheque Numbers, insert the starting cheque number and untick the cheques that should not be changed.
  • Save to complete the action, the History Comment field lists the user and new cheque number.
  • Continue until the relevant line is located
  • Click Record - Reprint Cheques, untick the cheques that do not need to be reprinted and then click OK to complete the process.
